Focus on the Family Creative Services Traffic Manager in Colorado Springs, Colorado

The Creative Services Traffic Manager position exists to ensure that the creative services team is effective in delivering top-notch creative assets that promote the successful engagement of our constituents. We are seeking a process-minded master scheduler and expert negotiator, who is concurrently continuously collaborative and detail-oriented, to work with all marketing and ministry teams to intake and screen new projects, assign resources, and coordinate the overall creative project tracking.

Reporting to the Creative Services Director and working closely with the Executive Director, Constituent Services, this role serves as the liaison for ministry-wide creative services requests and divisional asset management, archiving and production scheduling needs. S/he will act as the gatekeeper of resource management for the Creative Services Team being responsible for resource allocation, schedule facilitation, workload balance, and reporting of departmental metrics leveraging Aprimo (our marketing operations platform). In addition to the functional aspects of the role, this position is also expected to have day-to-day contact with external creative resources to ensure on-time delivery and successful creative results that exceed client expectations and meet business goals.

Essential Duties/Responsibilities:

Conducts initial evaluations of new project requests for accuracy and completeness while collaborating with creative leads and securing all necessary project briefs and approvals to move projects forward, working to clearly define the timing, scope of work, budget, and materials for the design and production shepherding them through to completion

Serves as the liaison with Marketing and other internal departments to help develop creative briefs and coordinate creative requests to set project expectations appropriately and share critical information with relevant stakeholders in a timely manner

Participates in client brainstorming sessions, as needed, to help steer creative direction, and communicates resulting vision to help guide the creative process in the creative adaptation and execution based upon approved concepts

Supports the Creative Services Team being accountable for maintaining the schedule integrity throughout the lifecycle of a creative project through regular (weekly or daily), full-traffic management of assigned initiative and products and from concept request, development, to completion

Attends regular meetings with the Marketing Strategy team to understand ministry goals, communicating the strategy across the Creative Services team

Assists Creative Services Director with presentations to internal departments, and provides feedback to the Designers; coordinates necessary changes through the design process

Manages relationship with vendors and external agencies including capabilities assessments, contract negotiations, and resource allocation, while representing the Creative Services Team as needed, in strategic planning and brainstorming meetings with Focus on the Family’s external strategic creative agency

Leads the effort in the development, management, and ministry socialization of an integrated constituent engagement communications calendar providing a single view of all communication activities across the broadcast, magazine, fund raising, product marketing, constituent cultivation, and other ministry areas

Coordinates weekly status updates for all projects in collaboration with creative leads, rescheduling projects and resetting expectations based on new or changing priorities

Works with different departments and personalities to get a job done, communicating clearly the milestones for a project, following through in a timely manner and promptly responding to requests for information Identifies and raises potential brand issues to the Creative Services Director and Brand Director while actively working with creative leads to address potential risks

Defines success metrics, analyzes and provides monthly reporting on capacity utilization, budget management, volume, time-to-completion, and on-time delivery Interfaces with Business Services team as needed for scheduling, budget, contract, purchasing, and reporting

Maintains files for the department within ECM or appropriate archives Champions the Focus brand identity across all developed materials with a strong level of attention to detail, acting as a brand steward, upholding brand and trademark standards and consistency in all projects **

Managerial Breadth/Scope of Job:**

May lead a team of 2-4 staff

Knowledge/Experience:

Bachelor of Science degree in project management or similar discipline preferred. A degree in Marketing, Communications, Advertising, or related field with proven experience will be considered

Minimum of 4-6 years of solid traffic management experience in an agency/studio environment and/or corporate setting

Expert project management and relationship management skills, coupled with a high degree of assertiveness, resilience, and flexibility

Strong, polished interpersonal, oral, and written communication skills are essential

Experience in guiding the creative process between clients and designers necessary

Experience running across teams and external resources required with team management experience a plus Hands-on experience working within a Marketing Resource Management and project management tools to handle workflow is critical

Excellent negotiation and conflict-resolution skills are preferred Proficient in MSOffice Suite; Mac knowledge a plus

Must be familiar with project management software and Adobe Creative Suite: Illustrator, InDesign, Photoshop, After Effects, Lightroom

Demonstrated ability to advocate for continual process improvement

Operate effectively as an individual working on multiple projects, quickly and efficiently

Creative design/understanding and copywriting is a plus

Knowledge of the printing process is a plus

Ability to recognize “pink” flags for resolution before they become red flags a plus

Stewardship Requirements:

Responsible for managing budgets up to $500,000
