Job Summary (Essential Functions)

Executive Administrative Assistant provides support to the Executive Vice President and to Senior Leadership. Handles a wide range of administrative and executive support related tasks. Performs complicated scheduling, email management and makes travel arrangements. Prepares meeting agendas, attends and takes minutes for various meetings. Compiles and distributes reports to management and prepares packets for Board of Director meetings. Provides other support and assistance as necessary to increase office efficiency and productivity. Coordinates and monitors assigned projects and responsible parties to assure timely completion. Manages communications across the executive team and department heads while maintaining sensitivity to organizational priorities. Interacts with staff in a fast-paced environment, with specific deadlines, remaining flexible, focused, proactive, resourceful and efficient. Uses expert level written and verbal communication skills, decision making abilities and attention to detail in daily tasks. Works independently with little or no supervision. Performs other general administrative duties as assigned.


Education: High School graduate, GED or equivalent in work experience required. Completion of an Associate or Bachelor's degree preferred.

Work Experience: Minimum 5 years administrative assistant experience with a minimum of 3 years of executive administrative experience.

Cognitive Skills (Language, Math, Reasoning Ability): High language, reasoning, critical thinking, and problem solving abilities, excellent customer service skills required. High volume quality work is paramount. Strong professionalism and confidentiality are also required.

Computer Skills: Must have calendaring and preferably Microsoft Outlook experience. Experience with Word, Excel, PowerPoint, at minimum; Keyboarding skills with accuracy.

Other Skills: Well developed multiple project management; training, meeting minutes and travel coordination required.

Physical Demands

Frequent standing and walking, occasional long periods of sitting, moderate bending, moderate energy requirements and fine motor skills. Looking at computer screen continuously for long periods of time, hearing within normal range. Must be able to lift 15 pounds.
